Paper has simply become inefficient and a waste of money. With technology as powerful as it is today it’s very easy for both businesses and persons alike to decrease the use of paper in their lives. ChameleonWare has the capability of storing electronic images of documents related to a sales transaction. Users are then able to view these documents from within the transaction using Internet Explorer. On the job screen within a sales transaction there is a field called “Scanned Docs”, this is option # 24 if you are on the latest version of the software. You can use this option to enter the names of the documents you would like associated to this transaction. The use of this feature can be achieved by doing the following;

Step One - Place the image in the C:\DOWNLOAD folder of your workstation. The image can be a photo, or a document like a PDF.

Step Two - Bring up the transaction the document is associated to and hit “A” to add the file to the list of the Associated Documents.

Step Three - Use the “U” option to FTP the listed files from your local DOWNLOAD folder up to DBC’s web server. Once the document is uploaded the user can view it simply by selecting the documents line number from the drop down list.

This utility can be invaluable to those who would like to scan and reference documents such as photos, insurance documentation, and electronic work requests. This utility can also save your employees time that is wasted on rummaging through paperwork, and also the waste of paper used on printing and storing these items. If you are interested in utilizing this feature please contact the DBC support staff to have this option enabled on your system.
